Here are some important answers to your Teams Mode questions!

I can’t switch between accounts anymore / I don’t see the team member dropdown. Does this mean I have to log in to a doctor’s account to record notes on their behalf?

No. You should not manually log in / out of other team member's accounts. The core functionality of the new Teams Mode is that you will always be performing actions via your own account, meaning that you can no longer be "Acting As" or switch between different team members. Instead, you can transfer notes to team members.

Key Change: If you are a care team member recording appointments on behalf of a doctor, you can enable the "Transfer New Notes" setting in your account (or the care team's account) to have this happen automatically after your note is recorded.

To summarize, if you are recording on other peoples behalf with Scribenote:

  • Before the Teams Mode changes, you would have had to select another team member to record as BEFORE starting the recording.

  • Now, you have to turn on an account setting to "Transfer New Notes". Once turned on, all notes should give you the option to transfer AFTER finishing the recording.


Our team uses Scribenote on one care team account in multiple exam room computers and we usually switch to a doctor’s account when starting an appointment for them. How does the new Teams Mode work for us now?

If you are logged into the care team account and always recording on behalf of a doctor (the doctor is not creating their own Scribenote recordings), then you should enable the "Transfer New Notes" setting in the care team's account settings. This will ensure that notes get transferred to the right doctor after each appointment.

If the doctor needs to continue adding to the recording after it is started by another care team member, it can be transferred to them so that they may continue adding to it on their own account.


My defaults aren’t applying / I can’t reprocess a note with my defaults.

We've immediately addressed this issue based on customer feedback. Now, when a record is of a SOAP type (Medical Record, Multi-Pet, or Pack Mode), the "apply defaults" checkbox will automatically show during transfer. It will be default selected for anyone who has the "Transfer New Notes" setting turned on.


I get an error when I try to transfer a note saying that I’m not the note's owner.

This was the behaviour that we decided to release with our updates to Teams Mode (released end of day March 30th), but have since reverted as of end of day March 31st in response to customer feedback.

Permissions now work across the team for anyone to be able to transfer the record. The intent behind locking down transfers with the Teams Mode Updates was to constrain who could make key actions to notes to avoid errors and confusion across large care teams.

This change was well meaning - our support team has spent collectively hundreds of hours tracking down “lost” notes that happened to be moved by someone on the team who wasn’t the original owner of the note. That said, in response to feedback today, we realize that we missed the mark on that decision and have just opened it up across each team. We will likely introduce a “note history” log in its place over the next couple weeks, and expand this to cover other Scribenote functions as well.


How can I use another team members / doctor’s template when recording a note for them?

You can use Templates with Teams Mode now by selecting the "See All Templates" option from the Template dropdown, and then filtering by a team member to see their templates. You can then start a recording with their template applied.

This is useful if you're recording on behalf of a doctor and need to use their template.


The team member/template dropdown in the inbox is not allowing me to record a note for that team member.

These dropdowns are filters for the Inbox, which allow you to narrow down the notes in the Inbox by a particular team member, date, or template type.

They do not allow you to record a note for that team member.


Do I have to transfer a note manually every time?

Nope, this is why we have the handy "Transfer New Notes" setting! This will allow you to transfer notes to team members quickly after creating a recording.


Does each team member need their own Scribenote login now?

This is recommended that at least every doctor in the practice using Scribenote has their own login. It's not necessary for non-DVM care team members who are just using Scribenote to record on behalf of other doctors (there can be one shared care team account).

The rule of thumb is, if you're creating recordings for yourself in Scribenote, you should have your own account.
