How to create, edit, and delete patients on the Scribenote web app

Updated this week

โ„น๏ธ Patients are a last-generation feature and won't be updated as frequently. If you already use a PIMS, we recommend not creating patients in Scribenote and simply using our auto-generated note titles to keep track of which patients your notes are for.

To begin, click your account profile on the top right corner of your screen. Then navigate to Patients in the dropdown menu.

When you get there, you'll see a large purple New Patient button. Go ahead and click it!

This is the patient creation pop-up.

Hopefully the fields are self-explanatory, but in case they aren't, let's go through them together! Click to expand each section:

Name

The patient's first name is a required field. The owner's last name isn't required, but it's helpful to put something here to distinguish the patient, so that you don't have 20 patients named just "Fluffy" in your notebook. ๐Ÿ˜‰

Species

We have quite the selection of preset species in our dropdown, each one with their own pictoral representation of that animal (even spiders! ๐Ÿ•ท). But in case none of them suit your fancy, you can select the "Other" option at the bottom of the dropdown.

Breed

This isn't a required field, but you can get descriptive here! For example, if you're entering info for a feline patient, you could select our preset "Domestic short-haired" breed from the dropdown, or you could type in something like "DSH, orange and white".

Date of Birth / Age

We understand that it's often impossible to know a patient's exact date of birth, so we have an option for entering an approximate age as well! To do this, select the "Enter Age" option, and then type in values for weeks, months, and years.

Sex and Intact status

This is required. Select Male or Female, then you will see a checkbox appear that says "Neutered" or "Spayed" depending on which sex you selected. Leave the box unchecked if the patient is still intact.

More (optional) sections:

Color

Enter the coat or skin type, color or any distinctive markings! Any physical features can go in this field.

Microchip #

If the patient is microchipped, you can enter their microchip number here.

Owner's contact info

Just in case, you can provide the owner's name, address and/or phone number(s) in this box.

Emergency contact info

If there are other contacts for the patient, enter their name, address and/or phone number(s) in this box. You can enter as many as you'd like!

And that's all there is to creating a patient! When you've confirmed their details, you'll be taken to their patient profile:

You can see these extended details if you hover over their name.

Editing a Patient

If you need to edit an existing patient, you can do that by going to their patient profile and clicking the Edit Patient button:

You'll see the same patient creation pop-up from when you created the patient. Any of the fields can be edited.

Deleting a patient

โš ๏ธ CAUTION: When deleting a patient, all of their associated notes and recordings will be permanently deleted as well!

If you need to delete a patient for any reason, you can do that by clicking Edit Patient on their profile, and then clicking Delete Patient as shown:

You will be asked to confirm:
