Transferring Notes

Move notes to the right team member before or after recording.

There are a few ways to get a note into the right team member's account, depending on when you realize you need to transfer it and which device you're on.


Record As a Teammate

⚠️The Record As option is only available on the web app.

If you know ahead of time that you're recording on behalf of a specific team member, you can assign the note to them before you start.

On the Dashboard, find the Record As dropdown above the purple record button. Select the team member, then begin recording. The note will be created directly in their account.


Automatic Note Transfer After Recording

If you primarily record on behalf of other team members, turn on Transfer New Notes in your settings. Once enabled, a transfer prompt will appear automatically every time you finish a recording.

On the Web App:

  1. Go to your Account Settings and open the Team tab.

  2. Toggle on Transfer New Notes.

  3. After finishing a recording, select the team member from the popup and click Transfer.

On the Mobile App:

  1. Tap the user icon at the top right of your Dashboard.

  2. Toggle on Transfer New Notes.

  3. After finishing a recording, select the team member from the popup and tap Transfer.

💡 When transferring a Medical Record or Multi-Pet note, you'll see an Apply Defaults checkbox. This applies the recipient's Custom Objective Defaults to the note. It's checked by default if you have Transfer New Notes turned on.


Manual Transfer

If you need to transfer a note after the fact without the automatic setting, here's how to do it on each platform.

On the Web App - from the Edit Note page:

Open the note, click the ... More dropdown, and select Transfer Note. Choose a team member from the popup and click Transfer.

On the Web App - bulk transfer from the Inbox:

  1. Expand your Inbox and select one or more notes.

  2. Click Transfer Ownership at the bottom of the screen.

  3. Choose a team member from the dropdown and click Transfer.

⚠️ You can only multi-select notes within one Inbox tab at a time.

On the Mobile App:

Open the note and tap the note owner's name in the upper right corner. Select the team member you'd like to transfer to and tap Transfer.


Viewing Team Members' Notes

Once you're part of a team, you can view, edit, and add to any team member's notes from your own inbox.

⛔️ You are not able to delete notes that are owned by a teammate. Only the note's owner can delete their notes.

On the Web App, use the filters on the Dashboard or Expanded Inbox to search by Date, Team Member, or Template.

On the Mobile App, tap the My Notes filter on the main Dashboard and select a teammate or All Members to see their notes.

⚠️ The team member and template dropdowns in the Inbox are filters for viewing notes only. They do not let you start a recording for that team member.
